Administrative Assistant – Receptionist

Supervisor: Director of Communications/Director of Buildings & Grounds 
Contract Length: 260 days
Job Classification: Secretary 
FLSA Status: Non-Exempt
Compensation: $14.19/h

Job Summary
Contribute to effective school/public relations by prompt and courteous handling of all inquiries and visitors, ensure effective flow of communication throughout the system, demonstrate human relations skills that contribute to the overall climate of the staff.
 

Responsibilities

  • Operates switchboard to relay incoming calls and assist callers.
  • Receives and distributes messages for staff members.
  • Maintains an attractive and comfortable reception area.
  • Receive and direct all students, parents, and guests to appropriate office/location.
  • Performs specific typing tasks as assigned by Central Office Manager and/or appropriate administrator.
  • Assists with maintaining a current activities schedule on the information board.
  • Responsible for the organization and maintenance of Health and Safety files.
  • Provide information on the use of the photocopier (assist others needing copies).
  • Maintains employee lounge (i.e., maintenance of pop machine (filling), make coffee, and make sure machine is shut off at end of the day).
  • Assist with material distribution, internal and external.
  • Electronically orders office supplies/equipment and processes invoices for payment, arranges for servicing and maintenance of office equipment.  
  • Administrative Assistant to the Director of Communications/Director of Buildings & Grounds 
  • Cross-trained on Registrar job duties/responsibilities.

 Secretary for Director of Buildings and Grounds
  • Work orders
  • OSHA Compliance information
  • Record keeping for training sessions
  • MSDS books (updated yearly in to supplemental booklets)
  • Emergency systems – fire/tornado procedures (set and record drills)
  • Lock-out/Tag-out Confined Spaces

 Asbestos Inspector/Management Planner
  • Asbestos Management Plan books and information at all the building sites
  • Record keeping of all asbestos books, inspections to the building
  • Annual notification letter to all staff, public, students and parents
  • Record keeping – Respirator program; medical records; training sessions

Other
  • Reads, sorts and distributes incoming mail to the appropriate office.
  • Performs diversified clerical work involving the exercise of independent judgment.
  • Ability to handle confidential work with tact and discretion; to maintain complex clerical records and prepare reports; and handle routine decisions in accordance with District policy.
  • Displays a high level of initiative, effort and commitment towards completing assignments efficiently.  Works with minimal supervision.
  • Screens incoming correspondence, telephone calls and personal visitors; answers questions when appropriate and refers other questions to the appropriate person for a response.
  • Responds appropriately to supervision.  Follows policy and cooperates with supervisors.
  • Adheres to District Board policies and procedures, Employee Handbook, and Secretary/Clerical Worker Rules.
  • Fulfills other duties as assigned.


Qualifications

  • High School Graduate
  • Experience equal to three years of full-time work in a secretarial or related administrative support capacity
  • Post high school course work in an accredited secretarial, business, or closely related curriculum may be substituted for the required experience.
  • Employee with three years current continuous experience with the Fort Dodge Community School District who meet all other qualifications for the position.
  • Keyboarding 50 net words per minute
  • Proficient in using Microsoft Office and Google
  • Effective and efficient use of access/communication skills through e-mail, electronic calendar, and other basic office support.
  • Spreadsheet skills 
  • Data base Managment
  • Telephone technology and etiquette.
  • Maintain confidentiality in all matters.
  • Such alternatives to the above qualifications as the Board may find appropriate and acceptable.

Travel Requirements

  • Travels to school district buildings and professional meetings as required

Knowledge, Skills and Abilities

  • Proper English grammar, punctuation, composition, vocabulary, and oral expression.

  • Keyboarding 50 net words per minute

  • Effective and efficient use of Microsoft Office programs such as Word, and Excel.

  • Effective and efficient use of access/communication skills through email, electronic calendar, and other basic office support.
